How to find stalled deals in HubSpot
Find quiet HubSpot deals and build a stalled deals report with Time in current stage, last activity filters, and a weekly triage view you can actually run.
A stalled HubSpot deal is an open deal that stopped moving: no recent activity, no next step, too long in the same stage, or a close date already in the past. You can find them with a filtered deals view or a custom stalled deals report using properties like Time in current stage and Last activity date.
Why it matters
Bad CRM data shows up in the numbers, not just in anecdotes:
- Companies lose an average of 16 sales deals per quarter to poor-quality CRM data, and 37% say bad data costs them revenue outright (Validity, State of CRM Data Management 2025, 602 CRM users surveyed).
- 76% of those respondents said less than half of their CRM data is accurate and complete (same report).
- 57% of sales professionals say the sales cycle is getting longer, which makes quiet deals easier to miss (Salesforce, State of Sales 2026).
In HubSpot, stalled deals are usually where that cost hides. Pipeline still looks full in the Monday meeting. A chunk of it has not moved in weeks. By the time someone notices, the close date is fiction and the forecast already baked it in.
What counts as a stalled deal
Agree the definition in writing first. If you skip that step, every pipeline review turns into an argument about what "stuck" means.
Practical signals for open deals:
- No logged activity in 14–30 days, or Last activity date is blank
- Next activity date is unknown
- Time in current stage past your stage SLA (e.g. 14 days in Negotiation, 30 in Proposal)
- Close date in the past
- No deal owner
Do not stack every signal in one filter group. HubSpot advanced filters are AND by default. Quiet and stuck and past close only returns deals that fail all three. Your list looks tiny. Your pipeline is not.
Use separate saved views (or OR groups):
- Quiet: Last activity date older than X days, or unknown
- No next step: Next activity date is unknown
- Stuck: Time in current stage greater than Y days
- Past close: Close date before today
Quiet + Stuck is enough for week one. Add Past close after people trust the first two. And please use stage-specific SLAs if you can. One "14 days anywhere" rule punishes late-stage deals that naturally sit longer.
How to build a stalled deals report in HubSpot
Sales workspace already has presets: Stalled Deals (about 20% above that owner's average time in stage), No Activity Scheduled, Stale Close Date. Fine as a smoke test. Not fine as your operating standard. Those averages wobble hard for new reps with no history.
Build your own views with thresholds the team actually agreed on.
Option A: Saved deals view (fastest)
One view per signal:
- Go to CRM → Deals (or Sales → Sales Workspace → Deals).
- Open the pipeline, then Advanced filters.
- Keep open deals only: Is closed is false. Listing every open stage also works, until someone renames a stage and silently breaks the view.
- Add one stall filter:
- Quiet: Last activity date is more than 30 days ago. OR group: Last activity date is unknown (blank dates never match "more than 30 days ago").
- Stuck: Time in current stage is greater than your SLA.
- Past close: Close date is before today.
- No next step: Next activity date is unknown.
- Leave Deal owner unfiltered so unowned deals still appear. Separate pass if that queue is large.
- Columns: Deal name, Amount, Deal stage, Deal owner, Last activity date, Time in current stage, Close date, Next activity date.
- Save bluntly: Stalled: quiet 30d, Stalled: stage SLA, Stalled: past close. Pin them somewhere people will actually click.
Option B: Custom report (for managers)
- Reporting → Reports → Create report → Single object → Deals.
- Filter Is closed is false, plus one stall signal.
- Start with a table. Charts by Deal owner or Deal stage are useful once the table is trusted.
- Put it on a dashboard your sales lead already opens on Monday. A lonely report in Reporting nobody opens does nothing.
Stage timing: Use stage calculated properties. Names/definitions: default deal properties.
If a property is missing or looks wrong
Time in current stage needs Professional or Enterprise. Even then, HubSpot often leaves stage calculated properties off for new pipelines. Enable them under Settings → Objects → Deals → Pipelines, wait for backfill, rebuild the filter. I have watched teams search the property library for twenty minutes before someone checks that toggle.
On lower tiers, approximate with Last activity date, Close date, Next activity date, and a workflow-stamped "entered stage" date.
Gotchas that burn teams:
- Last activity date moves on notes, calls, logged sales emails, meetings, messages, chat, completed tasks. It does not move on a stage-only change.
- Note-heavy cultures look healthier than they are. For a stricter quiet view, use Last contacted instead.
Empty results? You probably AND-ed three signals, or 30 days is too polite for your motion. Split the views or try 14.
What to do once you have the list
Triage in this order:
- Past close, still open: real next step, or close it
- No owner: assign today
- No activity + high amount: manager ping this week
- Long in stage, recent real contact: check if the SLA is wrong
- Low amount, dead quiet: close-lost with reason, or nurture outside forecast
Give owners one rule: every deal on today's stalled queue gets a next step or a close reason before the week ends. The first run will feel insulting. Clear by amount. Shrink it over a couple of weeks.
Things that waste a month: AND-ing every signal into one "clean" view; checking one pipeline when reps live in two; treating notes as proof of life; trusting the preset Stalled Deals view for a brand-new rep; building the view and never pinning it.
Keep the list from going stale
Build it once and ignore it, and you are back to gut feel by next month. Same person, same day, fifteen minutes, every week is enough for most teams.
